Terms of use

A professional workspace, with clear responsibilities.

These terms govern Invoice Studio accounts, organization workspaces, mobile apps, optional local workspaces, and generated outputs.

1. Agreement

These Terms of Use govern Invoice Studio, provided by Coetic X L.L.C. By creating an account, accepting an invitation, using an organization workspace, or using a local workspace, you agree to these terms and the Privacy Policy.

If you use Invoice Studio for a company, accounting firm, client, or other organization, you confirm that you are authorized to act for it. Invoice Studio is intended for adult business and professional users.

2. What Invoice Studio provides

Invoice Studio provides tools for invoices, clients, purchases, documents, banking review, accounting records, exports, declarations, payroll preparation, tasks, reminders, reporting, organization administration, and limited business-portal access. Exact features depend on the plan, role, permissions, jurisdiction, and release.

Invoice Studio may also offer a local workspace that stores records on one device or browser without a cloud account. Local mode does not provide server recovery, synchronization, organization collaboration, or hosted backups.

Features described as preview, draft, suggested, estimated, unverified, or awaiting review remain incomplete until an authorized person checks them.

3. Accounts, organizations, and access

You must provide accurate account information, keep credentials private, and promptly report suspected compromise. Organization owners and administrators control invitations, business assignments, roles, feature access, portal access, and retention settings. They are responsible for keeping that access current.

You may not share an individual account, impersonate another person, or attempt to access an organization, business, document, or operation you are not authorized to use. Actions performed through an account may be recorded in workspace and security audit history.

An external business-portal account receives only information deliberately published or requested for that business. Portal access does not create staff access or imply access to raw bank, payroll, extraction, QuickBooks, or internal audit records.

4. Professional review is required

Invoice Studio is not legal, tax, accounting, investment, or financial advice. It does not replace a qualified accountant, legal adviser, tax authority, bank, or licensed fiscalization provider.

You are responsible for checking source documents, names, identifiers, dates, currencies, tax treatment, totals, calculations, mappings, reconciliations, exports, and filing requirements before relying on, sending, paying, importing, or submitting an output.

Automated extraction, matching, categorization, and calculation are review tools. A suggested match is not proof of payment, a reviewed draft is not proof of government filing, and a generated workbook is not proof that another system accepted it.

5. Customer data and uploaded content

You retain the rights you have in information and files placed in Invoice Studio. You grant Coetic X the limited rights needed to host, protect, process, display, export, back up, and delete that content to provide the service.

You confirm that you have a lawful basis and all permissions required to process personal, financial, employment, banking, and confidential information in the service. You are responsible for notices to your clients, employees, suppliers, and contacts, and for responding to their valid requests. Coetic X will provide reasonable assistance where it acts as your processor.

Do not upload secrets unrelated to the accounting workflow, payment-card authentication data, account passwords, malware, or material that violates another person's rights. Keep independent copies of records that law or business continuity requires you to retain.

6. Acceptable use

You must not use Invoice Studio to:

  • Create fraudulent invoices, identities, payments, records, exports, or filings.
  • Upload malicious code, evade file limits, probe another tenant, or bypass access, retention, rate-limit, or security controls.
  • Use automated access that overloads or disrupts the service, except through an approved integration.
  • Reverse engineer the service where prohibited, resell access without authorization, or remove ownership notices.
  • Represent a preview, estimate, suggestion, or draft as an official government result.

7. No government or banking affiliation

Invoice Studio is a private product developed by Coetic X L.L.C. It is not a government app, tax authority, bank, payment institution, or licensed fiscalization platform. It is not affiliated with or endorsed by the Kosovo Tax Administration (ATK) or another government body.

References to EDI, ATK forms, declarations, tax categories, banks, or QuickBooks describe workflow compatibility. Unless a feature explicitly states otherwise and the required authorization exists, Invoice Studio does not file with a government, move money, or certify regulatory acceptance.

8. Exports, integrations, and communications

When you export a file, send an email or message, publish to a portal, or connect another service, you direct Invoice Studio to make selected information available to that destination. Review recipients, permissions, and content before proceeding. Third-party services apply their own terms and privacy practices.

Exports may require a particular template, software version, jurisdiction, or manual review. Coetic X does not guarantee that a third-party system will import, accept, or preserve an output.

9. Plans and payment

Any paid plan, storage allowance, trial, renewal, tax, refund, or service-level commitment will be shown in the applicable order, subscription page, or commercial agreement. The mobile apps do not display third-party advertising. If in-app purchases or store subscriptions are introduced, the applicable store terms and metadata will be updated before release.

10. Invoice Studio ownership

Coetic X L.L.C. owns Invoice Studio's software, interface, brand, documentation, and original content, excluding customer data and third-party open-source components. These terms grant a limited, non-exclusive, non-transferable right to use the service for its intended purpose while the account or applicable agreement remains active.

11. Availability, security, and changes

We work to keep Invoice Studio secure and available, but no online service is uninterrupted or error-free. Maintenance, security incidents, provider failures, legal requirements, or unsafe activity may temporarily limit access. We may improve, replace, or retire features and will give appropriate notice of material changes when practical.

You are responsible for secure devices, supported software, account recovery information, multi-factor authentication when required, safe exports, and timely review of access and audit history.

12. Suspension and ending use

You may stop using Invoice Studio and request deletion as described at Account and data deletion. An organization may need to transfer ownership, resolve unpaid obligations, or export required records before its workspace is closed.

We may restrict or suspend access to protect the service, comply with law, address non-payment, investigate abuse, or respond to a material breach. Where appropriate, we will provide notice and a reasonable opportunity to resolve the issue.

13. Disclaimer

To the extent permitted by law, Invoice Studio is provided "as is" and "as available." We do not warrant that suggested classifications, extracted fields, calculations, exports, reports, reminders, or integrations are complete, current, legally sufficient, or accepted by a third party.

14. Limitation of liability

To the extent permitted by applicable law, Coetic X L.L.C. is not liable for indirect, incidental, special, consequential, exemplary, or punitive loss; lost profits; business interruption; loss caused by unauthorized customer access; tax penalties; filing errors; or decisions based on unverified output. Nothing in these terms excludes liability that cannot lawfully be excluded.

15. Governing terms

These terms are governed by the applicable laws of Kosovo, without removing mandatory rights that apply in another jurisdiction. If one provision is unenforceable, the remaining provisions continue to apply.

16. Changes

We may update these terms as the product and applicable requirements change. The effective date and version above identify the current terms. Material changes will be communicated through the service, account email, or another appropriate notice before taking effect when required.
